This role is contract-to-hire, expected to be 25-35 hours / week with a 5-6 month evaluation period. Upon a successful evaluation period, the candidate has the ability to turn into a permanent full-time position. We expect to hire for the position as soon as we identify the right candidate.

Description

We are seeking a highly technical, highly organized, and detail-oriented Marketing Operations & PM Coordinator to support two distinct functions at Trellist. The first is internal: coordinating Trellist's own marketing efforts as they relate to sales, and maintaining the tools, reporting, and processes that keep our internal business development engine running. The second is client-facing: providing project management support on a technically complex, detail-intensive client account, helping run the day-to-day operational backbone of that account's projects.

The ideal candidate is someone who thrives on structure and precision: comfortable maintaining Trellist's internal BD tools and reporting one moment and tracking a client project's budgets, timelines, and stakeholder communications the next. They move easily between internal marketing/BD coordination and client-facing project governance, and they take ownership of the details that keep both running smoothly.

Qualified candidates should be highly technical and systems-fluent, comfortable working within established governance frameworks and templates, and confident communicating with internal Trellist teams as well as external client stakeholders. This is a role for someone who is energized by process, allergic to dropped details, and able to translate ambiguity into clear next steps.

Future potential: Strong performance in this role opens a path to a permanent Trellist position with growing scope across internal marketing operations, business development support, and client project/account management — including the potential to take on additional client accounts over time.

Internal Marketing & Business Development Support (Trellist-Facing)

Supports Trellist's own marketing and business development function — not a client account.

  • Content & Campaign Coordination: Coordinate execution of marketing campaigns and content across email, social, and web channels, and maintain sales enablement materials such as case studies, one-pagers, and decks.
  • Marketing Platform & Systems Upkeep: Maintain and update marketing platforms and systems (e.g., HubSpot, website, CRM) with current content, campaign assets, and account information.
  • Event & Trade Show Coordination: Coordinate planning and logistics for marketing events, webinars, and trade shows tied to business development efforts.
  • BD Tools & Reporting: Contribute to the creation and maintenance of marketing BD tools, processes, and systems, including distribution and reporting on all accounts.
  • BD Orchestra Coordination: Coordinate information gathering, presentation and documentation support, and communications activities to support the BD Orchestra.
  • Guideline & Template Compliance: Ensure appropriate marketing BD guidelines and templates are followed by applicable staff.
  • Sales Ops Reporting: Demonstrate and report on execution of sales ops and sales leader strategies to obtain new business via various channels.
  • Opportunity & Market Research: Identify potential business opportunities by researching industry trends, competitor activity, and market needs, while building a network of contacts and leveraging various channels to generate leads.

Client Account Project Management Support

Supports the day-to-day coordination and delivery of work for a specific, highly technical client account.

  • Internal Project Coordination: Coordinate day-to-day project activities across internal teams, ensuring assignments, priorities, deadlines, and expectations are clearly communicated and understood.
  • Task Assignment & Follow-Through: Translate project plans and direction from the client-facing Project Manager into actionable internal assignments. Track progress, follow up with team members, and proactively flag potential delays or blockers.
  • Quality Assurance: Conduct thorough QA reviews of deliverables before they move to the client-facing Project Manager, checking for accuracy, completeness, consistency, and alignment with provided direction and requirements.
  • Project Status Management: Maintain project status documents, trackers, timelines, and other working materials so they consistently reflect the most current information, next steps, owners, and deadlines.
  • Internal Communication: Serve as a highly communicative internal point of coordination for the account, proactively sharing updates, asking questions, confirming next steps, and ensuring team members have the information they need to complete their work.
  • Documentation & File Management: Maintain organized project files and documentation, including saving client-provided materials and email attachments to the appropriate internal locations and ensuring teams are working from the most current versions.
  • Email & Meeting Support: Stay informed on relevant client communications and meetings to understand priorities, decisions, and upcoming needs. Capture and translate relevant information into internal actions and documentation as needed.
  • Process Support: Help maintain established account processes, templates, and workflows and identify opportunities to improve organization and efficiency.

Candidate Requirements

  • Technical Aptitude: Comfortable learning and working across marketing/BD tools, reporting systems, project management platforms, and shared file environments, with strong proficiency in Excel, PowerPoint, and similar tools.
  • Organizational Rigor: Proven ability to manage multiple concurrent workstreams, budgets, timelines, documents, and stakeholder groups without letting details slip.
  • Communication Skills: Strong written and verbal communication skills, with experience presenting to and aligning both internal teams and external client stakeholders, and the ability to proactively follow up and escalate issues when needed.
  • Governance & Process Fluency: Experience working within a formal project or marketing governance framework, including SOW-based budget tracking, resource requests, and templated processes.
  • Analytical Thinking: Ability to research industry trends, competitors, and market data and translate findings into actionable business opportunities.
  • Attention to Detail: A demonstrated track record of high accuracy, completeness, consistency, and thoroughness in documentation, reporting, QA, and follow-through, even across a high volume of moving pieces.
  • Ownership & Follow-Through: Comfortable taking responsibility for keeping work moving, tracking outstanding items, and following through until tasks are completed.
  • Prioritization: Able to distinguish between routine project needs and issues that require escalation to project leads.

Nice-to-Have Qualities

Not required, but a strong plus — and areas we're happy to help develop on the job:

  • Experience with marketing/BD or CRM platforms such as HubSpot, Salesforce, or similar tools
  • Experience with project or resource management platforms such as Workamajig, Asana, Jira, or Smartsheet
  • Prior experience supporting a technical account (e.g., software, martech, or engineering-focused client) or an agency/client account team
  • Familiarity with sales enablement or business development processes
  • Experience facilitating structured meetings such as kickoffs and post-mortems
  • Background in marketing operations, agency account coordination, project coordination, or PMO support
  • Experience conducting QA on client deliverables
